Every new starter is meant to join the Thursday welcome session, and every new manager the monthly managers' forum. An **Invite to Calendar Event** step sends the calendar invitation for you, to the right occurrence, when the employee reaches that point in the flow.

## Before you start

- A calendar is connected under **Settings**, **Calendars**, through [Google Workspace](https://support.pynhq.com/integrations/google-workspace/) or [Microsoft 365](https://support.pynhq.com/integrations/microsoft-365/). Pyn lists the recurring events on that calendar.
- The event already exists on the connected calendar.

## Steps

1. In Pyn, open **Flows** in the left navigation, select **Automations**, then the automation.

2. Select **Add a step**, then **Invite to Calendar Event** under **Tasks & Activities**.

3. Under **Schedule**, choose when the invitation is sent, relative to the reference date. This is when the invite goes out, not when the meeting is.

4. Under **To**, choose who is invited: **Employee**, **Buddy**, **HRBP**, **Manager** or **Skip-level Manager**.

5. Under **Event**, select **Select a calendar event** and pick the event from the connected calendar.

6. Under **Invite to:**, choose which occurrence they are invited to: **Next occurrence after the scheduled send time**, **Next occurrence after the reference date**, or **All occurrences**.

7. Select **Publish** on the automation.

> **Tip:** For an onboarding session, **Next occurrence after the reference date** invites the starter to the first session on or after their start date even if the invitation is sent a week early. For an ongoing forum, **All occurrences** adds them to the series.

## What you should see

The step card shows the event's name. When it runs, the invitation arrives in the recipient's calendar from the connected account and the event on that calendar lists them as a guest. Under [Enrollments](https://support.pynhq.com/activity/enrollments/) the step's delivery reads **Invite To:** with the event and the occurrence. If the series has been deleted from the calendar, the delivery reports **Event Not Found**.
